Engagement tracking for firms that bill by the hour and promise by the deadline

A professional services firm has two questions every Monday: which engagements are burning faster than they were sold, and who is free next month. Orbiz answers both from the same time entries the consultants already log, without a separate resourcing spreadsheet.

Every tool included in every plan. No per-seat charge, no per-tool upsell.

The problem

Where consultancy teams lose time today

01

Timesheets filled in on Friday from memory

Hours are reconstructed at the end of the week, so the record of a Tuesday is a best guess and the client invoice inherits the guess.

02

Utilisation known only after the quarter

Who is over-allocated and who has capacity is a resourcing spreadsheet updated by one person, and it is out of date by the time it is shared.

03

Client files scattered across inboxes

Engagement letters, deliverables and working papers live in email threads and personal drives, and finding the final version is a search across three people.

The tools

How consultancy teams use Orbiz

Each tool below is the same product every customer gets — described here in terms of the job it does for your kind of organisation.

  • Trackline logo

    Delivery portfolio

    Trackline

Fixed-fee and retainer engagements with live margin

Every engagement is a project — fixed fee with milestones, or a retainer with periods. Consultant hours arrive from attendance and are costed at each person’s rate, so margin per engagement and estimation accuracy are visible during the work.

  • AMS logo

    Time & attendance

    AMS

Time logged to the engagement as it happens

Consultants clock in and log time against the engagement they are on, with inactivity detection pausing the clock on breaks. Timesheets and leave calendars show who is out and who is billable this week.

  • Filespace logo

    Files & storage

    Filespace

A folder per client, owned by the firm

Engagement letters, working papers and deliverables in shared folders scoped to your organisation, with starred items, recent activity and a recoverable trash.

  • HRMS logo

    People & hiring

    HRMS

Consultant records with rates and experience levels

Departments, experience levels and per-consultant records — the rate that costs an engagement lives here. Request and store contracts and professional certificates in an organisation-wide document library.

  • Vault logo

    Secrets & credentials

    Vault

Client portal logins shared with the engagement team

Accounting portals, tax authority logins and client systems, kept in a collection per client and shared with the named consultants on that engagement. Encrypted in the browser, every read audited.

  • Ledgr logo

    Payroll & accounts

    Ledgr

Reviewed timesheets, approved payroll, exportable records

Billable hours from attendance become the month's timesheet, the salary sheet is sent to a reviewer you pick, and every approved run is an xlsx and a set of payslips your auditors can trace.

  • Huddl logo

    Team chat

    Huddl

A channel per engagement, with the client as a guest

Open a channel for each engagement and invite the client’s sponsor as a guest: they see that channel, the files shared in it and the consultants on their account, and never the rest of the firm. Decisions made in the thread are searchable when the engagement is reviewed.

What consultancy teams usually pay for instead

A team like yours typically runs on Harvest, Asana, 1Password, Dropbox, Slack and a payroll spreadsheet — each with its own bill, its own user list and its own offboarding step. Orbiz covers the same jobs for one flat price per organisation, with unlimited members.

Professional services FAQ

Questions consultancy teams ask

Can we see which consultants have capacity next month?

Yes. Trackline shows hours logged and planned per person across every engagement, together with leave from AMS, and suggests who has capacity when a new engagement is being staffed.

Does the timesheet show hours per client for invoicing?

Time is logged against a specific engagement in AMS, so a timesheet is already broken down per client. Trackline rolls those hours up per engagement and per retainer period, costed at each consultant’s rate.

Where does the hourly rate used for costing come from?

From the consultant’s employee record in HRMS. Costs are never stored separately — they are computed at read time from hours multiplied by the current rate, so a rate change is reflected everywhere without a migration.
