Filespace for professional services

Engagement letters, working papers and deliverables in folders the firm owns

A professional firm’s files carry obligations: the signed engagement letter, the working papers behind an opinion, the final deliverable a client may ask for years later. When they live on the partner’s laptop or in a personal cloud drive, the firm does not own them and cannot find them when the partner has moved on. Filespace is a drive scoped to the firm, with a folder per client and per engagement, shared with the team on it.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What Filespace does for professional services

01

A folder per client, a subfolder per engagement

Engagement letters, scoping notes, working papers and deliverables in a structure that mirrors how the firm sells: client, then engagement. Share the client folder with the account team and an engagement folder with the people on it.

02

Edit and View only, per folder

The engagement lead has Edit; a reviewer or a junior has View only until they need more. Deliverables that have been issued to a client sit in a folder nobody edits by accident.

03

Recent activity and a recoverable trash

What changed since yesterday is in recent activity for everyone with the folder, and a deleted working paper waits in a trash it can be restored from — which matters when the document supports an opinion the firm signed.

04

Quotas instead of per-user licences

Storage is a quota an administrator sets per member, visible at a glance, so a firm with many part-time associates does not pay a storage seat for each.

One platform

Where Filespace hands off for a consultancy team

Filespace uses the firm’s members and roles, so an associate marked inactive in HRMS loses access to every client folder at once while the files stay exactly where they are. Documents HRMS collects for the person’s own file are behind the same login, in the same organisation-scoped storage.

Questions consultancy teams ask about Filespace

Can a client be given access to their own engagement folder?

A client contact can be invited as a member with a role limited to their folders, and their access ends with their membership — the right route for working papers. A folder can also be switched to “anyone with the link” for a deliverable the client simply needs to download; that link has no password or expiry date, and you turn it off when it has served its purpose.

How long are deleted files recoverable?

A deleted file sits in the Filespace trash until the trash is emptied, and can be restored at any point before that. Emptying the trash is deliberate and removes the file permanently.

Does Filespace keep versions of a document?

Not as a version history today. The current file is the one in the folder; a previous version is kept only if it was saved as its own file. Recent activity records who changed what and when.
