Healthcare attendance and HR software built for shift-based care teams

Care runs around the clock, and the attendance system has to keep up: biometric clock-ins from the device at the door, night shifts that cross midnight, leave that has to be covered before it is approved. Orbiz records all of it against one staff record, next to the licences and documents each role requires.

Every tool included in every plan. No per-seat charge, no per-tool upsell.

The problem

Where clinic teams lose time today

01

Biometric data that never reaches payroll

The device at reception records every punch, but the export sits in a spreadsheet until someone reconciles it by hand against the roster.

02

Leave approved without cover

A request is approved by a manager who cannot see who else on the ward is already off that week, and the gap is discovered on the day.

03

Expired licences found at audit

Professional registrations, certificates and contracts are stored in paper files or personal folders, so nobody is told when one runs out.

04

Shared logins on the ward computer

The credentials for a lab portal or a supplier system are on a sticky note because there is no safe way to share them with the shift.

The tools

How clinic teams use Orbiz

Each tool below is the same product every customer gets — described here in terms of the job it does for your kind of organisation.

  • AMS logo

    Time & attendance

    AMS

Biometric imports, shifts and holiday calendars

Import attendance from your biometric devices and map each PIN to a staff member once. Night shifts that cross midnight are recorded correctly, leave requests go to your approvers with the entitlement already worked out, and the holiday calendar is per organisation.

  • HRMS logo

    People & hiring

    HRMS

Staff records with licences and certificates attached

One record per clinician or support worker with department, role and experience level. Request registration certificates, contracts and identity documents, annotate them, and keep them in an organisation-wide library that survives staff turnover.

  • Filespace logo

    Files & storage

    Filespace

Policies and protocols in one shared drive

Clinical protocols, HR policies and training material in folders your organisation owns, with sharing per team and a recoverable trash. Every file lives in your organisation’s own space.

  • Vault logo

    Secrets & credentials

    Vault

Shared portal logins, encrypted and audited

Lab portals, supplier systems and equipment consoles often have one login per site. Keep those in Vault, share them with the roles that need them, and see every read in the audit log — encrypted in the browser before storage.

  • Notely logo

    Notes & reminders

    Notely

Handover checklists the next shift can tick

Shared checklists and notes that update in real time for everyone on the team, with reminders for the tasks that must happen at a fixed time.

  • Ledgr logo

    Payroll & accounts

    Ledgr

Shift hours to payslips with statutory contributions

Hours worked, approved leave and holidays roll into payroll; provident-fund or social-security schemes compute both shares, and staff see their own payslips and contribution statements.

What clinic teams usually pay for instead

A team like yours typically runs on a biometric attendance system, a leave spreadsheet, Google Drive and a shared password sheet — each with its own bill, its own user list and its own offboarding step. Orbiz covers the same jobs for one flat price per organisation, with unlimited members.

One platform

One login, one set of roles, one database that is yours

Healthcare organisations have more roles than most — clinicians, nurses, lab staff, reception, administration — and each needs a different view. Orbiz roles are built from granular per-tool permissions, so a ward manager approves leave for their own team and an administrator sees documents, while each organisation’s data sits in its own database.

Healthcare FAQ

Questions clinic teams ask

Can Orbiz import attendance from our biometric devices?

Yes. AMS imports attendance records exported from biometric devices and maps each device PIN to a staff member once. After that, imported punches appear as clock-ins and clock-outs on the person’s attendance record and in the reports.

How does it handle night shifts that cross midnight?

A shift that starts in the evening and ends the next morning is recorded as one attendance session on the day it started, rather than being split or cut off at midnight. Long open sessions are capped by a configurable auto-stop rule.

Is Orbiz certified for healthcare data regulations?

Orbiz does not hold healthcare-specific certifications, and it is not designed to store patient records. It stores staff, attendance and document data, with a separate database per organisation and role-based access you define. Assess it against your own regulatory requirements before storing regulated data.
