Filespace for healthcare & clinics

The protocol every nurse is meant to follow, in the one place every nurse can find it

A clinic runs on documents that must be current and findable: infection-control protocols, safeguarding policies, equipment manuals, training material. When they live in a personal drive or a printed binder, the version on the ward and the version approved by the clinical lead drift apart. Filespace is a drive owned by the organisation, with a folder per department and sharing per team, so the current protocol is the one everyone opens.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What Filespace does for healthcare & clinics

01

Folders per department, shared per team

Clinical, nursing, reception and management each have folders; a protocol is shared with the teams that follow it. A new staff member is given the folders their role needs on day one, alongside the onboarding checklist in HRMS.

02

Recent activity shows what changed

When the clinical lead updates a protocol, the change appears in recent activity for everyone who has the folder, so the ward learns the new version exists without a memo.

03

A trash you can restore from

A deleted policy waits in a recoverable trash rather than vanishing, so an accidental deletion during a tidy-up is an undo — which matters when the document is one an inspector will ask for.

04

Quotas an administrator sets

Storage is allocated per member within the organisation’s allowance, and usage is visible. Large scan libraries and training videos are managed by quota, not by buying another seat.

One platform

Where Filespace hands off for a clinic team

Filespace uses the same roles as every other tool, so a policy shared with the nursing team is readable by whoever HRMS says is in the nursing team — and nobody else. Documents HRMS collects from a staff member sit behind the same login, in the same organisation-scoped storage.

Questions clinic teams ask about Filespace

Can we control who may edit a protocol and who may only read it?

Yes. A folder is shared as View only or Edit. Clinical leads get Edit on the protocols folder; ward staff get View only, so the version they open is the approved one and cannot be changed by accident.

Is patient information ever stored in Filespace?

Filespace is for the organisation’s own documents — protocols, policies, training, HR paperwork. Orbiz is not a clinical records system and does not offer one; patient records stay in your clinical software.

Where are the files physically stored?

In object storage under your organisation’s own prefix, in the Asia Pacific (Mumbai) region, served through signed URLs that expire. Dedicated or region-specific hosting is available on the Enterprise plan for organisations with a residency requirement.
