Agency operations software that knows which client every hour belongs to

Agencies sell time, and yet the hours, the deliverables and the client logins usually live in three unrelated tools. Orbiz ties every clock-in, every board card and every shared password to a client project, so retainer burn is visible before the invoice goes out.

Every tool included in every plan. No per-seat charge, no per-tool upsell.

The problem

Where agency teams lose time today

01

Retainer burn discovered at invoice time

A client on 40 hours a month quietly consumes 60, and nobody notices until the account manager reconciles timesheets at month end.

02

Client logins passed around by message

Ad-platform, analytics and social media credentials for a dozen clients live in a shared document or a group chat, with no record of who used them last.

03

Brand assets in personal drives

Logos, guidelines and final artwork end up in whichever designer’s cloud drive was handy, and leave with them when they go.

04

Feedback in ten-message threads

Describing a layout problem in text takes longer than fixing it, and the client’s reply arrives out of context two days later.

The tools

How agency teams use Orbiz

Each tool below is the same product every customer gets — described here in terms of the job it does for your kind of organisation.

  • Trackline logo

    Delivery portfolio

    Trackline

Retainer periods with hours and margin per client

Set each client up as a retainer or fixed-price project. Hours flow in from attendance, so period burn and margin are visible mid-month rather than reconstructed at invoice time.

Trackline for marketing & creative agencies
  • Vault logo

    Secrets & credentials

    Vault

Client ad and social logins, shared by name

Keep each client’s advertising, analytics and social media credentials in their own collection, share them with the account team by name, and see who read what in the audit log. Everything is encrypted in the browser before it is stored.

  • Filespace logo

    Files & storage

    Filespace

Brand assets in folders the agency owns

A shared drive scoped to your organisation, with a folder per client for logos, guidelines and finals. Per-member quotas keep it under control, and a departing designer’s files stay put.

  • Grabr logo

    Screen recording & screenshots

    Grabr

Walkthroughs and reviews as a link

Record a screen walkthrough of a campaign draft with webcam and mic, annotate a screenshot of a layout, and send a link that expires. Analytics show whether the client opened it before the review call.

  • Huddl logo

    Team chat

    Huddl

A guest channel per client account

Give each client account its own channel and invite the client’s marketing lead as a guest: they see that channel, the files shared in it and the people on their account, and never the rest of the agency. Campaign questions stop living in email threads.

  • Cadence logo

    Project tracking

    Cadence

    Campaign boards per client

A board per client or per campaign, with statuses that match your workflow — brief, in progress, internal review, client review, live — and custom fields for channel and deadline.

  • AMS logo

    Time & attendance

    AMS

Time against the client, not just the day

Team members clock in and log time to a client project, so a timesheet is already a per-client breakdown. Leave and holiday calendars show account managers who is out before they promise a deadline.

What agency teams usually pay for instead

A team like yours typically runs on Trello, Harvest, 1Password, Loom, Google Drive, BambooHR and Slack — each with its own bill, its own user list and its own offboarding step. Orbiz covers the same jobs for one flat price per organisation, with unlimited members.

Agencies FAQ

Questions agency teams ask

Can we see how much of a client’s retainer has been used this month?

Yes. Trackline tracks each retainer as a series of periods, and hours logged in AMS against that client’s project roll into the current period automatically, so remaining hours and margin are visible at any point in the month.

How do we share a client’s social media password with only the team on that account?

Put the credential in a Vault collection for that client and share it with the named teammates on the account. The item is encrypted in their browsers before it is stored, and the audit log records every time it is read.

Is there a limit on file storage for client assets?

Storage is managed with per-member quotas that an admin sets in Filespace, rather than by buying storage licences. Files belong to your organisation’s own space, so they stay when a team member leaves.
