Filespace for marketing & creative agencies

Brand assets in folders the agency owns, not in the designer who left

Agency files have a way of living on the machine of whoever touched them last. The final logo is on a laptop that was returned, the brand guidelines are in a personal drive, and the client’s new campaign needs both by Thursday. Filespace is a drive scoped to your organisation, with a folder per client, sharing per team and quotas an admin sets — so the files belong to the agency whoever produced them.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What Filespace does for marketing & creative agencies

01

A folder per client, shared with the account team

Logos, guidelines, photography, finals and sign-offs in a folder structure per client, shared with the designers and account managers on that client. A new team member is given the folder, not a zip.

02

Quotas instead of seat licences

Storage is a quota an admin sets per member within the organisation’s allocation, so a large creative team does not mean a large per-seat storage bill. Usage is visible at a glance and quotas change any time.

03

Starred items, recent activity and a recoverable trash

The files a team comes back to are starred, what changed since yesterday is in recent activity, and a deleted final goes to a trash it can be restored from — a mis-click is an undo, not a rebuild.

04

Scoped to the agency, in its own storage space

Every file lives under your organisation’s own storage prefix, served through signed URLs and never mixed with another customer’s files, and access follows the same roles as every other tool.

One platform

Where Filespace hands off for a agency team

Filespace uses the same members and roles as the rest of the platform, so a designer marked inactive in HRMS loses access to every client folder at once — and the files stay exactly where they were. Screenshots and recordings the team makes in Grabr live behind the same login.

Questions agency teams ask about Filespace

Can we share a file with a client who is not on the platform?

Yes. Sharing is with named members by default, and a folder can be switched to “anyone with the link” so the client opens it and downloads the finals without an account; turn the link off when the job closes. A Filespace link has no password or expiry date — for a proof or a recording that should expire, Grabr’s share links take both.

Does Filespace preview design files?

Images and PDFs open in the browser. Native design-tool files are stored and downloaded rather than previewed, so a designer opens them in the tool that made them. The folder is the source of truth; the preview is not.

What happens to a departing designer’s files?

Nothing. Files belong to the organisation and stay in their folders when the member is marked inactive. If the account is later erased, the member’s unshared files are removed after a preview an admin confirms; anything in a shared client folder is untouched.
