The platform

What Orbiz is, what is included and how the pieces fit together.

What is Orbiz?

Orbiz is all-in-one business software for small and mid-sized teams. One account and one login give your organisation 10 tools — HRMS, AMS, Filespace, Cadence, Huddl, Vault, Grabr, Trackline, Notely and Ledgr — covering hiring and HR, time and attendance, files, project tracking, shared credentials, screen recording, delivery profitability, notes and payroll. They share one set of people, one set of roles and one database per organisation, instead of 10 separate subscriptions that do not talk to each other. It also works with AI assistants: connect Claude or ChatGPT and they do the work in Orbiz as you, with your permissions.

Does Orbiz work with Claude and ChatGPT?

Yes, today and on every plan. Orbiz MCP connects Claude, ChatGPT and Claude Code to your organisation, and the assistant acts as one member with that member’s permissions. It can take 81 actions across nine of the 10 tools — file a Cadence issue, log Trackline hours, request leave in AMS, add a candidate in HRMS — and it has no access to the Vault. Each member approves what it may do on an Orbiz consent page, every action appears in an activity log, and an admin can switch AI assistants off for the whole organisation.

Is my organisation’s data separated from other customers?

Yes. Every organisation gets its own MongoDB database rather than a shared table filtered by a tenant column. A query cannot span two organisations because the databases are separate, and the tenant identity is resolved by the API gateway from your session, never from anything a browser sends.

Can I use only one of the tools?

Yes. Tool access is granted per organisation, so you can start with HRMS or attendance alone and switch the others on later. Members only see the tools your organisation has enabled and their role permits.

How much does Orbiz cost?

Orbiz is priced per organisation, not per seat: one flat price in US dollars for your whole company that covers all 10 tools and unlimited members. On annual billing the Team plan is $99 a month for up to 10 people, $199 for up to 25 people, $349 for up to 50 people and $599 for up to 100 people; monthly billing costs 20% more. Over 100 people, or with migration help or dedicated hosting, the Enterprise plan is quoted. There is no card checkout: send us your team size through the contact form and a person replies within one business day.

Can we move our existing data across?

Yes. Employee records, candidates, leave balances, files and project issues can be imported. On the Enterprise plan we do the migration with you; on the Team plan we provide import templates and support over email.

How do permissions work?

Authorisation is permission-based rather than role-name-based. Each tool exposes granular read and write permissions, and you compose them into custom roles that you assign per member. An admin can see exactly which permissions a role carries before granting it.

Do employees get their own access?

Yes. Employees are invited by email and get their own login with an employee-scoped view: their attendance, their leave requests, their documents, their payslips and the projects they are on. They never see organisation-wide administration.

How do we get started?

Contact us with a short description of your team and which tools you need. We set up your organisation, its subdomain and the first admin account — usually within one business day — then you invite the rest of your team from inside the product.

Pricing and plans

Pricing and plans

How the flat price works and what changes between Team and Enterprise.

How is Orbiz priced?

Per organisation, as one flat monthly price in US dollars set by your headcount band: $99 a month for up to 10 people, $199 for up to 25 people, $349 for up to 50 people and $599 for up to 100 people, billed annually. Monthly billing costs 20% more. The price never changes when you invite another member inside your band or switch on another tool. Over 100 people, or with hands-on migration or dedicated hosting, the Enterprise plan is quoted. We talk to every organisation before it starts and confirm the price in writing.

How does the price compare with buying separate tools?

Typically at least 50% lower than the same team would pay for equivalent separate subscriptions — a project tracker, a time tracker, a password manager, a screen recorder, file storage and an HR system, each billed per seat. The features page shows that stack priced out for teams of 5, 20 and 50 from each vendor’s published list prices.

What is the difference between Team and Enterprise?

Both plans include all 10 tools, unlimited members and a dedicated database. Enterprise adds hands-on data migration, guided onboarding and admin training, a named contact with an agreed response SLA, security review support, custom domain and email sender configuration, and dedicated or region-specific hosting on request.

Is there a per-user charge?

No. Both plans include unlimited members, so adding an employee or an intern does not change your bill. That is deliberate: shared business software stops being useful the moment people avoid inviting colleagues to it.

What happens when we grow past our band?

Adding people inside your band never changes the price. When your headcount moves past the top of it, we agree the move to the next band with you before it affects your bill; nothing changes automatically, and nobody is charged per seat in the meantime.

Can we sign up and pay online?

Not yet. Orbiz is set up with each organisation directly: you tell us about your team through the contact form, a person replies within one business day, and we create your organisation, its subdomain and the first admin account. The price is confirmed in writing before you commit.

Is there a free trial?

Yes. We set up a working organisation for you to evaluate, with your own data if you want it, before any commitment. Ask for one through the contact form and tell us which tools you want switched on.

What happens to our data if we leave?

It is yours. Because each organisation has its own database, we can export the whole thing for you, and we delete it on request once you confirm the export is complete.

Security and your data

Security and your data

Where data lives, who can see it and how you get it back.

Where is our data stored?

Your organisation’s database runs on MongoDB Atlas, and your files, recordings and documents are stored in Amazon S3 in the Asia Pacific (Mumbai) region, served through Amazon CloudFront; the application itself runs on AWS in the same region. Each organisation has its own database and its own storage prefix; nothing is pooled with another customer’s data. Dedicated or region-specific hosting is available on the Enterprise plan.

Is data encrypted?

In transit, always: every connection between a browser and Orbiz, and between Orbiz and its providers, is TLS. At rest, the database and object storage providers encrypt on disk. Vault credentials go further — they are encrypted in your browser with a key derived from your passphrase, so the server only ever holds ciphertext it cannot read.

Can Orbiz staff see our data?

Operational access to production is limited to the engineers who run the platform and is used for support and incident response, never for browsing customer data. Vault items are unreadable to us by design. Salaries in Ledgr are visible only to the Admin and Finance Manager roles your organisation assigns.

Do you have an audit log?

Yes, where it matters. Every read, share and change to a Vault item is recorded with the actor and timestamp. Permission and role changes, attendance corrections, leave decisions and payroll approvals are recorded with who made them and when, and are visible to your admins inside each tool.

How do we get our data out, or delete it?

Export is a request away: because each organisation has its own database and storage prefix, we hand you the whole thing. Deletion is likewise on request, confirmed in writing once you have your export. A single person can also be erased across every tool by an Admin from inside the product.

How do I report a security issue?

Email the support address with “security” in the subject line. A person reads it the same business day, and we will acknowledge the report, keep you informed while we investigate, and credit you if you want to be credited.

AI assistants

AI assistants

Connecting Claude, ChatGPT and other assistants to Orbiz through Orbiz MCP.

What is Orbiz MCP?

Orbiz MCP is a Model Context Protocol server for your Orbiz organisation. It lets AI assistants such as Claude, ChatGPT and Claude Code read and act in Orbiz — Cadence, Trackline, AMS, HRMS, Notely, Filespace, Grabr and Ledgr — on behalf of one member, using that member’s own permissions.

Can an assistant see more than I can?

No. Every request runs the same permission checks as the Orbiz web app, for you, in your organisation. An assistant cannot reach a tool your organisation has switched off or a screen your role cannot open, and the scopes you approve can only narrow that further.

Which assistants work with Orbiz?

Claude (web, desktop, mobile and Claude Code), ChatGPT through custom connectors, and any client that supports remote MCP servers over Streamable HTTP with OAuth. Each organisation connects through its own address, which you find in Settings → Connected AI apps.

Can an assistant change salaries?

Only if you run payroll and tick the salary scope yourself — it is never ticked by default. Even then, a direct salary change needs an explicit confirmation from the assistant, and proposing a revision for review is the gentler option it is offered first.

What can an assistant never touch?

Vault credentials and the attendance timer have no tools at all, platform super-admin accounts cannot connect, and nothing can be deleted through the connector. Pay tools never return bank details, and member look-ups return names only.

How do I disconnect an assistant?

Open Settings → Connected AI apps and choose Disconnect. It takes effect immediately. Changing or resetting your password disconnects every assistant, and an organisation admin can switch AI assistants off for everyone at once.

Does Orbiz MCP cost extra?

No. It is included in every plan, alongside all the tools, for every member of your organisation.
