HRMS for healthcare & clinics

Staff records that hold the registration certificate, the contract and the onboarding checklist in one place

A clinic’s HR file is a compliance file. Every clinician has a professional registration to prove, a contract to sign and a set of documents to keep current, and every new starter has the same induction to complete. Spread across a filing cabinet, a shared drive and someone’s inbox, the question “is this nurse’s registration on file?” takes an afternoon. HRMS keeps it on the record, requests what is missing, and gives every new joiner the same checklist.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What HRMS does for healthcare & clinics

01

One record per person, grouped by department and role

Clinicians, nursing, reception and support staff each have a record with department, role and experience level, so a report of who is in which team, and at which grade, is a filter rather than a spreadsheet.

02

Document requests for registrations and identity

Request a registration certificate, an identity document or a signed contract from a staff member; they upload it from their own login, and it is stored against their record where an inspector or an administrator can find it. Annotate what needs renewing.

03

An organisation-wide document library

Policies, protocols and templates every staff member must acknowledge live in a library that survives turnover, alongside the per-person documents — so induction material is never “on the previous manager’s drive”.

04

Guided onboarding for every new starter

Each new joiner gets the same checklist — documents to upload, policies to read, equipment issued, systems access granted — tracked on their record, so induction is complete when the checklist is, not when someone remembers to ask.

One platform

Where HRMS hands off for a clinic team

The record HRMS creates is the one every other tool resolves: AMS clocks against it, its leave balance lives with it, Ledgr pays it, and a role change here changes what the person can see everywhere. When someone leaves, marking them inactive ends their access to every tool and keeps the record — and its compliance documents — intact.

Questions clinic teams ask about HRMS

Does HRMS track registration expiry dates and remind us?

Documents stored against a record can be annotated with what they are and when they need renewing, and the library shows what is on file per person. Automatic expiry reminders are not built today, so renewal tracking is a report an administrator runs rather than an alert that fires.

Can a clinician see and update their own documents?

Yes. Every staff member has an employee-scoped login where they see their own record and documents, respond to document requests by uploading, and never see another person’s file or any organisation-wide administration.

Is patient data ever stored in HRMS?

No. HRMS holds staff records, not patient records, and Orbiz has no clinical modules. The data is your employees’ employment and compliance information, kept in your organisation’s own database with access controlled by the roles you define.

Want HRMS set up for your clinic team?

It comes with every plan, alongside the other tools. Tell us your team size and we set up a working organisation for you to try.
