Final settlement calculator

Work out what an employee is owed on their last day — salary for the days worked, unused leave and any gratuity or bonus — and what is recovered from it, such as notice not served, loans and advances, and tax. Each line shows how it was calculated.

What goes into a final settlement

A full and final settlement closes the account between an employer and someone who is leaving. It pays what is still owed — salary for days worked since the last payroll, leave earned but not taken where the policy pays it out, and any gratuity, bonus or other amount due — and recovers what the leaver owes, such as an outstanding loan or salary advance, equipment not returned, and pay for notice that was not served.

The net figure is what is paid. When deductions are larger than payments, the result is negative: the leaver owes the difference.

Working out a day’s pay

Most lines are a number of days multiplied by a day’s pay, and employers divide the monthly salary in different ways: by 30, by the number of working days, or by the calendar days in the month. Use the basis in the employment contract or the company’s pay policy, because the choice changes every line.

What the calculator does not decide

Whether unused leave is paid out, how much notice is required, whether gratuity is due and how it is calculated, and how the settlement is taxed are set by the employment contract and by the law where the person works. The calculator takes each of those as an input rather than assuming a rule, so the same page works for any country. Check them before the settlement is paid.

FAQ

Questions about the final settlement calculator

What is included in a full and final settlement?

Usually salary for the days worked since the last payroll, payment for unused leave if the policy pays it out, gratuity or provident fund dues, bonuses or other amounts owed, less any loan or advance outstanding, pay for notice not served, other recoveries and income tax. The contract and local law decide which of these apply.

How is a day’s pay calculated for a settlement?

By dividing the monthly salary by a fixed number of days. Common bases are 30 days, the working days in a month (often 26) or the calendar days in the month. The calculator lets you choose, and every day-based line uses the same rate.

Can a final settlement be negative?

Yes. If recoveries such as an outstanding loan or unserved notice are larger than what is owed, the result is negative and the leaver owes the employer the difference. The calculator shows that as a negative net amount.
