AMS for non-profits

Attendance for the office and the field team, with hours that land on the right programme

A non-profit’s team is rarely in one place: an office, field staff on programmes, sometimes a partner team in another country. One spreadsheet per location is how most organisations cope, and the funder’s time-allocation report is assembled from all of them at quarter end. AMS lets office and field staff clock in from any browser against the programme they are on, routes leave to the right approver with the balance shown, and reports hours per programme from records kept as the work happened.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What AMS does for non-profits

01

Clock-ins from a browser, wherever the work is

Office staff clock in from a laptop; field staff from a phone browser at the site. Break types and optional inactivity detection apply the same way, and the day’s segments show where the hours went.

02

One holiday calendar per organisation

Public holidays and closure days are entered once for the organisation and count as non-working days in every balance and report. A partner team in another country, with different holidays and leave law, runs as its own organisation with its own database.

03

Leave types with entitlements set once, approvals by role

Annual, sick, casual, probation and unpaid leave each carry an entitlement set once for the organisation. A request lands with the approver role, or with the reporting manager through the HRMS approval workflow, with the remaining balance shown.

04

Reports per programme for the funder

Hours and leave per programme, per period and per person, exported as jobs, give the numbers a funder’s time-allocation report asks for — from records staff kept as they worked.

Where AMS hands off for a non-profit team

AMS clocks against the record HRMS keeps for staff and volunteers alike, and for paid staff the approved hours and leave are what Ledgr pays from. Time logged against a programme is also what Trackline costs per programme, so staff time per grant is read, not estimated.

Questions non-profit teams ask about AMS

Do volunteers clock in?

Only if you want them to. Clock-in is a policy per role; many organisations record volunteer sessions for reporting and use leave and approvals for paid staff only. Either way, volunteers are members like anyone else and cost nothing to include.

Can field staff log time without a reliable connection?

Clock-in needs a connection at the moment of clocking. A field worker who could not clock in requests an attendance correction afterwards with the times and a note, and a manager approves it; the record shows both. A native app with offline support is planned but not available.

How do we report staff time per grant?

Log time against the programme or grant as a project, and the hours per project, period and person are in the reports and in Trackline’s per-project view. The same records feed payroll, so the time report and the salary cost agree.
