HRMS for non-profits

Staff and volunteers on one record each, with the agreement and the training certificate attached

A non-profit’s people are a mix of paid staff, long-term volunteers and short placements, and every one of them needs a signed agreement, an identity check and often a training certificate before they work with a beneficiary. Kept in binders and inboxes, the question “is this volunteer cleared?” is answered from memory. HRMS gives every person a record, grouped by programme, with the documents their role requires requested and stored against it.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What HRMS does for non-profits

01

Records for staff and volunteers alike

Paid staff, regular volunteers and short placements each have a record with programme as department, role and experience level. Who is active on which programme, and in what capacity, is a filter.

02

Documents requested per role

Volunteer agreements, identity documents, clearance certificates and training records are requested from the person, uploaded from their own login and kept on the record. The administrator sees what is outstanding before the placement starts.

03

Recruiting through your own careers page

Paid roles and volunteer opportunities are published on the organisation’s careers page with an indexable URL each, and applicants move through stages you define with structured feedback from the programme lead.

04

Onboarding checklists per programme

Safeguarding policy read, induction attended, equipment issued, systems access granted — a checklist per programme, tracked on each record, so a volunteer’s first session follows the same steps in every location.

One platform

Where HRMS hands off for a non-profit team

The record HRMS creates is the one AMS clocks against for staff and field teams and the one Ledgr pays for paid roles; volunteers simply have no pay profile. When a placement ends, marking the person inactive ends their access everywhere and keeps the record and its clearance documents on file.

Questions non-profit teams ask about HRMS

Do volunteers count towards the price?

No. The price is per organisation with unlimited members, so a roster of two hundred volunteers costs the same as a staff of ten. Invite everyone who needs a record; there is no per-seat charge to ration.

Can we track training that expires?

Training certificates are stored against the record and can be annotated with the renewal date, and the library shows what is on file per person. Automatic expiry alerts are not built today, so renewals are a report an administrator runs rather than a notification.

Can a programme lead see only their programme’s people?

Yes. Roles are composed from permissions, so a programme lead can be given the records and pipeline for their programme while the director sees all of them. Each person sees only their own record.
