Filespace for non-profits

The grant agreement, the budget and the final report in one folder the organisation owns

A non-profit’s files are its funding: the application that won the grant, the agreement that sets the terms, the reports that keep it. They tend to live in whichever programme manager wrote them, and a funder’s audit request arrives after that person has moved on. Filespace gives each funder and each programme a folder the organisation owns, shared with the team responsible, with a trash that forgives a mistake.

Included in every plan. No per-seat charge, no per-tool upsell.

In practice

What Filespace does for non-profits

01

A folder per funder, a subfolder per grant

Applications, agreements, budgets, interim and final reports for each grant in a structure that mirrors how the money arrives. Share the funder folder with the fundraising team and a grant folder with the programme delivering it.

02

Programme folders for delivery evidence

Each programme keeps its own folders for plans, monitoring data and evidence, shared with staff and volunteers on that programme, so the report writer finds the evidence where the delivery team left it.

03

View only for trustees and funders’ auditors

A folder is shared as View only or Edit, so a trustee or an invited auditor can read the grant file without being able to change it, and the version they read is the one the organisation issued.

04

Quotas, not seats, and a recoverable trash

Storage is a quota an administrator sets per member, so a large volunteer roster does not mean a large bill. A deleted agreement waits in the trash until someone empties it.

One platform

Where Filespace hands off for a non-profit team

Filespace follows the organisation’s members and roles, so a volunteer whose placement ends loses access to every folder at once while the files stay put. The staff and volunteer documents HRMS collects sit behind the same login in the same organisation-scoped storage.

Questions non-profit teams ask about Filespace

Can a funder be given access to their own grant folder?

Yes, two ways. Invite the funder’s contact as a member with a View-only role limited to their folder, and their access ends when the membership does. Or switch the folder to “anyone with the link”: they open it without signing in, and you turn the link off when the reporting period closes. The link carries no password or expiry date, so the membership route is the one for confidential agreements.

Does Filespace help with the report itself?

It holds the evidence and the previous reports where the writer can find them, and shows what changed since the last one. Writing the report happens in your document tool; the folder is where the finished report is filed against the grant.

How much storage does a small non-profit get?

Storage is managed as per-member quotas within your organisation’s allocation, set by your administrator and changeable at any time. The allocation is part of the flat price; tell us the volume you expect when you get in touch.
